THE University of Ibadan (UI) has unveiled stringent new guidelines regarding the collection of Statements of Result (SOR) and certificates, introducing financial penalties for graduates who fail to retrieve their documents promptly.
According to a special release bulletin dated 15 September 2026, signed by the Registrar, G. O. Saliu, the institution expressed concern over the accumulation of uncollected documents.
The new directives, which take immediate effect, aim to streamline the collection process and decongest the university’s archives.
Under the new rules, graduates are required to collect their Statements of Result within six months from the date they are notified of their readiness.
Failure to comply within this stipulated period will attract a non-collection penalty of N2,500.00, which must be paid before the document is released.
Furthermore, the university has clarified the validity period of the SOR. The document, described as an interim measure pending the collection of the official certificate, will now be valid for a period of two years from the date of issuance.
The document will bear the inscription: “Valid for Two (2) Years from the Date of Issuance.”
The bulletin advised that the certificate remains the university’s official and permanent evidence of graduation. Consequently, graduates are expected to collect their certificates within the two-year validity period of their SOR.
Regarding the collection of certificates, the university stated that documents shall be available for collection from the date of the Convocation Ceremony up to one year thereafter.
This initial collection is subject to the payment of a prescribed statutory fee of N7,500.00.
However, for certificates that remain uncollected after the initial one-year grace period, the university has introduced a tiered penalty structure:
· Within one year of notification: Payment of the statutory N7,500.00 fee.
· After one year but not exceeding five years: A penalty of N25,000.00.
· After five years but not exceeding ten years: A penalty of N50,000.00.
· Beyond ten years: The certificate will be liable to be shredded.
The Registrar emphasised that these non-collection penalties are separate from, and do not include, the standard N7,500.00 statutory fee required for the issuance and collection of the certificates.
“All graduates and relevant stakeholders are advised to take note of these guidelines and comply accordingly,” the statement concluded.
